As an agency representing children, we take our data protection responsibilities extremely seriously.

2. What personal data we hold

In the course of representing young talent, we may collect and hold the following personal data about children and their parent or guardian:

  • Child’s name, age, date of birth, height, and physical description
  • Professional headshots and portfolio photographs
  • Spotlight listing profile and casting information
  • Parent or guardian name, contact details, and relationship to the child
  • Availability and booking records
  • Local council licensing documentation for children under 16
  • Communications exchanged via email, phone, or our website

We only collect information that is strictly necessary to represent your child and secure suitable opportunities.

3. Children’s data and parental consent

As we represent children aged 6 to 17, all personal data relating to a child is collected and processed only with the explicit consent of a parent or legal guardian. Parents and guardians are responsible for ensuring the information they provide on behalf of their child is accurate and up to date. We will never share a child’s personal data without parental consent, except where required by law or necessary to fulfil a confirmed booking.

4. Lawful basis for processing

We process personal data on the following lawful bases:

  • Contract — to represent your child and secure casting opportunities on their behalf
  • Legal obligation — to facilitate council licensing for children under 16 and meet any other statutory requirements
  • Legitimate interests — to manage our agency, communicate with families, and promote our talent to casting directors and clients
  • Consent — where a parent or guardian has provided explicit consent for their child’s data to be processed, including the use of photographs and profiles

5. How we store and secure your data

All personal data is stored securely and is only accessible to authorised members of the MTM team. We apply appropriate technical and organisational measures to protect personal data — particularly that of children — from unauthorised access, loss, or misuse. Our website uses secure login protocols to protect talent profiles and family information.

6. How long we keep your data

We retain personal data for as long as a child remains on our books and for a reasonable period thereafter. Upon a child leaving our representation, personal data — including photographs and profiles — will be removed or securely deleted in a timely manner. We will always confirm this process with the parent or guardian concerned.

7. Sharing your data

We do not sell personal data. In the course of representing your child, we may share relevant information with:

  • Casting directors and production clients seeking talent for specific roles
  • Spotlight, for the purposes of maintaining your child’s industry profile
  • Local councils, for the purposes of obtaining performance licences for children under 16
  • Industry professionals such as photographers engaged for headshots

All sharing is carried out only where necessary and with parental consent where required.

8. Your rights

Under UK GDPR, parents and guardians have the following rights in respect of their child’s personal data:

  • The right to access the personal data we hold
  • The right to have inaccurate data corrected
  • The right to have data deleted upon leaving our representation
  • The right to restrict or object to how we process data
  • The right to withdraw consent at any time

To exercise any of these rights, please contact us using the details below. We will respond within one month.

9. Complaints

If you are unhappy with how we have handled personal data, you have the right to lodge a complaint with the Information Commissioner’s Office (ICO), the UK’s data protection regulator.
